## About WritingAnt

### Is WritingAnt a dictation app or a writing assistant?

Both, in one step. It transcribes your speech locally and then, if you choose a polished style, rewrites the result into well-written text in the register you want before inserting it at your cursor. You can also keep the literal transcript.

You can also highlight messy text you already wrote on your keyboard and, with one gesture such as a double-press of Shift, turn it into improved text without leaving the application you are writing in.

### Can WritingAnt learn my writing style?

Yes. Define a style by describing how it should sound, who writes in it and who reads it, or start from one of the 20+ built-in styles. Whenever a result is not quite right, press Teach, rewrite it your way and optionally say why. Each example becomes something the style learns from and applies to future texts. This works for dictated text and for text you highlight and fix.

### Does WritingAnt send my voice recordings to the cloud?

No. Speech recognition runs on your computer. With the Basic style nothing leaves your machine. With the advanced styles only the text transcript is sent for polishing; the audio never is.

### Is WritingAnt faster than online dictation tools?

On a modern computer the local Basic style usually returns text in under 200 milliseconds, faster than a cloud round trip. Polished styles take around three seconds. On older or low-end computers a cloud dictation app can be faster.

### Can I fix text I typed myself?

Yes. Highlight any text in any application and double-tap Shift. The corrected, polished version replaces it in place. You can also speak an instruction, such as "make it shorter".

### Is there a mobile app?

No. WritingAnt is for Windows and macOS.

### Which languages does WritingAnt support?

Twenty: English, Spanish, German, French, Italian, Portuguese, Russian, Dutch, Polish, Czech, Slovak, Hungarian, Romanian, Croatian, Bulgarian, Ukrainian, Finnish, Swedish, Danish and Norwegian.

### How is WritingAnt different from dictating into an AI chat tool?

Dictation inside an AI chat works only in that chat and gives you a raw transcript. WritingAnt works at the cursor in every application, including AI chats, and hands over either the exact transcript, near-instantly, or polished text. One shortcut across all your tools, and recordings of up to 20 minutes without an auto-stop.

### Which AI models does WritingAnt use for polished text?

Currently the latest GPT-6-class models (GPT-6 Luna, and GPT-5.6 Terra when it gives better results for extra-long texts) for the advanced styles, and a local speech model for transcription: Parakeet TDT 0.6B v3 for multilingual speech, with the English-optimized v2 for English. Models may change as better ones become available.

### Is there a free plan?

Yes, with generous free usage every month and no credit card. Paid plans include the same features and differ only in how much voice writing you get per month.

### Is the WritingAnt user interface available in my language?

Yes. The interface is translated into all 20 European languages that speech to text supports; you pick the language in the settings.

## How WritingAnt compares

### How does WritingAnt compare with other speech-to-text apps?

Most speech-to-text apps give you a clean transcript. WritingAnt can do that too: with the Basic writing style you get a clean transcript of exactly what you said. What sets WritingAnt apart is the next step: it rewrites what you said into well-written text in one of 20+ writing styles, and lets you define and teach your own or your company’s style. The free monthly usage of the clean transcript is generous, because speech recognition runs locally on your own computer.

On privacy, WritingAnt goes further than most other speech-to-text apps. Most of them upload your voice recording to their own cloud or to a partner vendor’s cloud. WritingAnt never does: speech recognition runs on your own computer. With the advanced writing styles, which rewrite your text, WritingAnt sends only the text to cloud servers, never the voice audio. In the version you can download, you can also choose the Basic writing style, and WritingAnt then processes your text entirely on your computer as well, for maximum privacy. For enterprise clients, WritingAnt is also available on request as a client program only, connected to your organization’s own servers and AI, or to the AI cloud vendor your organization prefers.

If you like to work with music on, WritingAnt can optionally pause it while you record and resume it when you are done, so you can just start speaking without reaching for the volume.

WritingAnt focuses on being the best program for macOS and Windows computers for European and Swiss users. Competitor apps are ahead on mobile apps and on the number of languages outside Europe. See the full comparison: https://www.writing-ant.com/writing-ant/compare

### How does WritingAnt compare with dictation in AI chat tools?

Dictation inside an AI chat works only in that chat, often stops by itself after a short pause, and uploads your voice audio. WritingAnt works at the cursor in almost any application, including AI chats, with one easy-to-remember key, records for up to 20 minutes without an auto-stop, and keeps your voice audio on your computer. See the full comparison: https://www.writing-ant.com/writing-ant/compare

### How does WritingAnt compare with the dictation built into Windows and macOS?

Built-in dictation gives a simple transcript, often with filler words left in, and usually needs a language download and a language choice every time you dictate. WritingAnt polishes the text in the style you choose, switches style and language automatically per program, and also fixes text you already typed with a double-tap of Shift. See the full comparison: https://www.writing-ant.com/writing-ant/compare

### How does WritingAnt compare with AI chats and writing assistants?

With an AI chat you copy the text over, write a prompt and paste the result back, and you have to pick a sensible model yourself. WritingAnt improves highlighted text in one step, right where you are, with a model already tuned for writing, and uses the same personalization for dictated and typed text.

That makes WritingAnt the best fit for daily communication: emails, Slack messages and internal documents. This is the writing you do in high volume every day, where switching to another application and running several rounds of improvements on the same text is not worth the time.

For an extremely important text you publish, such as a book or a news article that will exist for a long time and be read by a wide audience, WritingAnt is a fast way to get the first draft down. For the iterations after that, an AI chat conversation with several rounds of revision is the better tool. See the full comparison: https://www.writing-ant.com/writing-ant/compare

### What is the best speech-to-text app?

It depends on what you need. For well-written text in your own or your company’s style, on Windows or Mac, with your voice kept on your computer, WritingAnt is built for exactly that. If you mostly dictate on your phone, or need a language outside the 20 most common European ones, another app may suit you better. See the full comparison: https://www.writing-ant.com/writing-ant/compare

### What is the best speech-to-text app for data privacy?

Look for one that processes your voice on your own computer. In WritingAnt, speech recognition runs locally, so your voice audio never leaves the machine, and the advanced styles send only the text to the cloud servers for polishing.

Even in the standard version, the Basic style keeps both your voice audio and your text on your computer, for situations where no data at all should leave it.

Enterprise customers can also use WritingAnt as a client and, after a small customization, connect it to their own servers or to the cloud computing vendor they prefer.

WritingAnt is made in Switzerland, with GDPR and Swiss FADP considered by design. Most competing apps upload the voice audio to a cloud service, which is a more sensitive type of data than text, because it contains your personal voice. See the full comparison: https://www.writing-ant.com/writing-ant/compare

### What is the fastest speech to text for voice prompting AI tools?

On a modern computer, WritingAnt’s local Basic style usually returns your words in under 200 milliseconds, with no round trip to a server, and it works the same in every AI chat, coding assistant and browser tool with one shortcut.

On a computer with an older processor and no dedicated GPU, competitor speech-to-text apps can be faster, because they use the processing power of cloud servers. That speed comes at the expense of data privacy: your voice audio is shared with the cloud. See the full comparison: https://www.writing-ant.com/writing-ant/compare

## Speech to text vs. AI automation vs. AI writing assistants

### What is the best way to leverage AI for writing emails?

It depends on how much personalization and judgment the email needs. If the content depends on your judgment, on what you know about the reader and on what was agreed, and a personal, well-fitting reply matters for the relationship and the business outcome, dictate it: you say what you mean, and modern speech to text with AI-powered editing, such as WritingAnt, turns it into well-written text in seconds, around three times faster than typing. The content and the judgment stay yours.

That is usually the case in B2B communication and in internal communication: answers to client requests, follow-ups, feedback, and the team communication and internal coordination behind them, with colleagues, other teams and company functions. An AI-generated draft has to guess what only you know, and checking and correcting a draft that is almost right often takes longer than saying the right thing from the start.

An AI-generated draft fits messages where a medium level of personalization is enough because they carry the same information for everyone, such as confirmations, reminders and status notifications. It can also be a good starting point when a third-party tool already drafts replies from your data. Read the draft first: if it is right, send it. If it is off, don’t fix it line by line; speak the email from scratch instead.

Many teams use both: automated drafts for routine information, and speech to text for everything a person has to stand behind. Read the full guide: https://www.writing-ant.com/writing-ant/speech-to-text-vs-ai-automation-vs-ai-writing-assistants

### When should business communication be highly automated with AI-generated drafts, and when not?

By “highly automated” we mean agentic AI workflows in which the AI generates the draft from your data and rules, and a person at most approves it before it goes out. Use AI-generated drafts for messages that are repetitive, carry information and follow rules: confirmations, reminders, status notifications, answers to simple frequent questions.

Don’t rely on AI-generated drafts for messages that carry a relationship, a judgment or a liability: client correspondence, escalated support cases, sales follow-ups, feedback, advice.

The deciding question is how much personalization and judgment a message needs for satisfied customers and a good business outcome. Where a medium level of personalization is enough, AI-generated drafts can deliver it, and the automation pays off. Where a high degree of personalization and judgment is needed, AI-powered speech to text is the better fit: a person decides what to say and how to say it to this reader, and the AI turns it into well-written text.

In recent years, many companies took AI automation too far into many categories of communication, and it backfired on customer satisfaction and business outcomes, as the published cases on our page [What leading companies tried, what they learned, and our reflections](https://www.writing-ant.com/writing-ant/ai-in-client-communication-lessons-learned) show. If you automate, keep following up: evaluate against critical KPIs, such as customer satisfaction, resolved requests and conversions, whether your degree of automation is too high. Where it is, consider a larger share of modern speech to text, with a person in the driver’s seat who speaks the message. ### How do I use AI for emails without sounding like AI?

Let the content come from you and use AI only for the wording. When you speak the message yourself, it contains your points, your order and your way of putting things; the AI removes filler words, fixes grammar and sets the tone. Text that an AI generated from a short prompt contains the AI’s points instead, and readers notice.

In WritingAnt you can also define your own or your company’s writing style and teach it by example, so that the polished text sounds like you. Read the full guide: https://www.writing-ant.com/writing-ant/speech-to-text-vs-ai-automation-vs-ai-writing-assistants

### Why do automated AI sales emails get so few replies?

Because everyone can send them. When outreach costs nothing to produce, inboxes fill up with messages that look alike, and readers learn to ignore them. In a 2026 survey by the email platform Hunter, 69% of decision makers said they were uncomfortable with emails that were obviously written by AI, and small, targeted recipient lists performed best.

Many sales teams therefore go back to fewer, more deliberate messages written by a person who has looked at the recipient. Speaking such a message into a speech-to-text program such as WritingAnt produces well-written text around three times faster than typing it, without the major downsides of AI-generated content, where no person drives the main content. ### Should we replace customer support with an AI chatbot?

For first-level questions with a known answer, an AI chatbot works well, as long as customers can easily reach a person. For complex, emotional or costly cases it does not. In a Gartner survey of 5,728 customers, 64% preferred that companies did not use AI in customer service, mainly because they feared it would become harder to reach a person. Klarna, which had moved much of its customer service to AI, began hiring people for it again in 2025.

A division that works: AI answers the routine questions, and second- and third-level agents answer the rest in their own words, quickly, with speech to text. Read the full guide: https://www.writing-ant.com/writing-ant/speech-to-text-vs-ai-automation-vs-ai-writing-assistants

### What is the return on investment of speech to text compared with AI automation?

Speech to text returns time per person, from the first day, on writing that already takes place: people speak at around 150 words per minute and type at around 50. There is no integration project and the cost per user is low.

AI automation returns cost per message, but only at high volume and with simple content, and after a project with integration, testing and monitoring. Wrong or unwanted messages count against it. Most organizations get the fastest return from speech to text for the people who write all day, and automate only the repetitive information. ### How can managers, project managers and product managers use AI for daily communication?

By speaking their messages instead of typing them. Much of what these roles write is coordination: aligning people and teams, sharing information, gathering perspectives before a decision, communicating the decision, and moving a plan forward round by round, within the team and with other teams and company functions. On top of that come feedback, stakeholder updates, requirements and replies to clients.

Almost all of it depends on their own judgment and on what they know about the people involved. An AI cannot know that content, but it can write it down well. With WritingAnt you press one key, say the message, and the polished text appears at the cursor in the email, chat or ticket you are in.

The same goes for founders, recruiters, key account managers and customer success managers. Read the full guide: https://www.writing-ant.com/writing-ant/speech-to-text-vs-ai-automation-vs-ai-writing-assistants

### Can financial advisors, insurers and lawyers use AI to write to clients?

Yes, and the safest way is one where the professional remains the author. In regulated professions the firm and the person answer for every client communication, whoever wrote it, and an AI-generated draft can contain statements that sound right but are wrong.

With speech to text the advisor, insurer or lawyer speaks the content and AI only handles the wording, so the professional’s judgment is in every message.

Data protection matters just as much. In WritingAnt the voice recording never leaves the computer: speech recognition runs locally on your own computer, and the advanced writing styles send only the text to cloud servers, never the voice audio. In the standard version, the Basic writing style keeps the text on the computer as well. For firms with stricter requirements, WritingAnt is available on request as a client program only: after a small customization, it connects to the firm’s own servers and AI, or to the AI cloud vendor the firm prefers, so client data stays within infrastructure the firm already controls. WritingAnt is made in Switzerland, with GDPR and Swiss FADP considered by design. ### Is speech to text or an AI writing assistant better for writing a book or an article?

For the revisions, an AI chat or writing assistant, or a plain keyboard. A book, a news article or a study is a text that is itself the product. It is worth several rounds of work on structure and wording, which is what these tools are made for.

Speech to text is the fast way to get the first draft and your notes down. For daily communication it is the other way round: speech to text is the better tool, because several rounds per message are not worth the time. Read the full guide: https://www.writing-ant.com/writing-ant/speech-to-text-vs-ai-automation-vs-ai-writing-assistants

### How do I use speech to text for prompting AI chats and AI coding assistants?

Put the cursor in the prompt field, press the WritingAnt key and say what you want, with all the background you would leave out when typing. Spoken prompts contain more context, and more context gives better answers.

For prompts, use the local Basic style: on a modern, higher-end computer the transcript usually arrives in under 200 milliseconds. And the same key starts the recording in every AI chat and coding assistant, so there is one shortcut to learn, even if you work in several AI tools, instead of a different built-in shortcut in each one.

A dedicated speech-to-text program such as WritingAnt usually also gives you better text than the dictation built into AI chats, which often splits what you say into choppy sentences, with capitalization in the wrong places, a common complaint from users. And you can relax and think out loud for up to 20 minutes, pausing to consider what to say next. The built-in dictation of many AI chats stops by itself after a few seconds of silence. That is easy to miss, it breaks your flow, and you have to start over.

Many built-in dictation tools also leave filler words in. That can become awkward on organization plans of AI chat tools, where chats are often shared with colleagues. If you know your colleagues read your chats, you can even use one of WritingAnt’s advanced writing styles, which rewrite what you say into well-written text, so you come across as someone who writes clear prompts that are easy for colleagues to read.

Optionally, WritingAnt also pauses your music while you record. In many cases, a dedicated speech-to-text tool gives you a better experience and more efficiency than the dictation built into AI chats. ### Who is accountable when AI writes a message that turns out to be wrong?

Most likely the company and the person who sent it. One example: in 2024 a Canadian tribunal held Air Canada liable for wrong information its chatbot had given a customer, and rejected the argument that the chatbot was responsible for its own words. Source: [McCarthy Tétrault: Moffatt v. Air Canada](https://www.mccarthy.ca/en/insights/blogs/techlex/moffatt-v-air-canada-misrepresentation-ai-chatbot).

That makes modern speech to text, with a person in the driver’s seat, a good idea in many communication situations. A wrong point is less likely to get through, because the person decides what the message says and proofreads it before sending it. ### Is speaking really faster than typing?

Yes, in most cases, as soon as you write more than a sentence or so. With modern speech to text and automatic AI editing, writing is often around three times faster than on a keyboard, and somewhat less on an older computer.

You don’t have to take our word for it. WritingAnt measures every message: the time for speech recognition and automatic editing, compared with how long typing the same number of words would take. It tracks your time savings month by month, and you can set your own typing speed and hourly rate to get personalized savings, in hours and in money. That is the best way to see for yourself and evaluate it.

Even for very fast typists, the time savings are usually dramatic. And people who start using a modern speech-to-text tool rarely go back: many say they can’t imagine returning to the keyboard for most of their written communication. ### Which AI writing tool fits B2B and B2C customer support best?

In B2B customer support, and in second- and third-level support for consumers, AI-powered speech to text with a person driving the conversation, such as WritingAnt, is usually the best fit. The answer depends on knowing the client and the case, and the person who answers stands behind it.

In B2C first-level support, AI-generated replies from highly automated, agentic workflows can cover a larger share of the volume: the same simple questions, at any hour, at scale. An easy way to reach a person should remain. Read the full guide: https://www.writing-ant.com/writing-ant/speech-to-text-vs-ai-automation-vs-ai-writing-assistants

### What is the best way to leverage AI in sales outreach?

It depends on whether you sell to businesses or to consumers, and on how much personalization and judgment a message needs.

In B2C sales outreach for simple products and services, a medium level of personalization is often enough, and highly automated, agentic AI outreach with AI-generated drafts can fit, to a larger extent than in B2B.

In B2B sales, especially for complex products and services, a high degree of personalization and judgment is usually needed: the message depends on knowing the client, their situation and what was discussed. Highly automated, agentic workflows that draft and send the messages should be weighed carefully and re-evaluated over time against critical KPIs. Often a better business outcome, and less damage to client relationships, comes from people writing more of their messages themselves with AI-powered speech to text, such as WritingAnt, around three times faster than typing.

It can also be worth using AI agents to support the work around the messages: qualifying and prioritizing leads, enriching them with relevant data and context, and, if well considered for your use case, drafting messages or the key points of a message for the rep to build on. Decide based on what makes sense for your case and on what is legally allowed in your region. ### How can I best leverage AI in B2B sales outreach?

Mostly with AI-powered speech to text, with a person driving the content. B2B sales outreach usually needs a high degree of personalization and judgment: what to say depends on knowing the client, their situation, what was discussed and where the deal stands, especially for complex products and services. The rep speaks each message with that judgment, and a program such as WritingAnt turns it into well-written text around three times faster than typing.

Highly automated, agentic workflows that draft and send messages should be weighed carefully in B2B, and re-evaluated over time against critical KPIs such as reply rates, conversions and the health of client relationships. Many sales teams see better outcomes from fewer, more deliberate messages written by a person who has looked at the recipient. ### How can I best leverage AI in B2C sales outreach?

For simple products and services sold to consumers, a medium level of personalization is often enough, and highly automated, agentic workflows with AI-generated drafts can take over a larger share of the outreach than in B2B: the same offer, to many people, at scale.

Keep following up on critical KPIs, such as replies, conversions, unsubscribes and complaints, and watch for early signs of damage to goodwill. When a customer answers, asks a real question or the purchase is larger, a person with judgment should take over, and AI-powered speech to text, such as WritingAnt, lets them write that personal reply around three times faster than typing.
